Privacy Policy

How FOWS collects, uses, shares, and protects personal information, including when it is processed by AI models and third-party providers.

FOWS is powered by AI and third-party services.

FOWS uses artificial intelligence, including large language models from providers such as Google Gemini, OpenAI, and Anthropic, and relies on third-party platforms such as Google Cloud, Cloudflare, Amazon Web Services, MariaDB, and Stripe to run. By using FOWS, you consent to your information and content being processed by these AI tools, language models, and third-party services as described in these terms and our Privacy Policy.

01Overview

This Privacy Policy explains how FOWS AI ("FOWS", "we", "us") collects, uses, discloses, and protects personal information when you use fows.ai, app.fows.ai, and the FOWS AI agents and services (the "Service").

By using the Service, you acknowledge this policy and consent to your information being processed by the AI tools, language models, and third-party services described below.

02Information we collect

  • Account and contact details: name, email address, phone number, business name, and login details.
  • Billing information: plan and billing history. Card and payment details are collected and processed by Stripe, our payment merchant, and are not stored by us.
  • Your content: prompts, business information, website content, images, blog posts, and files you provide or that agents create for you.
  • Connected account data: information from accounts you connect, such as Google Business Profile, email, calendar, CRM, or social media, within the permissions you grant.
  • Lead and visitor data: information submitted through forms and chats on websites you run with FOWS, such as enquiries from your customers.
  • Usage and device data: pages viewed, features used, credits consumed, IP address, browser, device type, and approximate location.
  • Communications: messages you send us, including early access requests and support enquiries.

03How we use information

  • to provide the Service, including building and hosting websites and running AI agents on your behalf;
  • to process payments, manage subscriptions, credits, and trials;
  • to provide support, send service messages, and tell you about changes;
  • to secure the Service, prevent fraud and abuse, and meet legal obligations;
  • to understand how the Service is used and improve it; and
  • to send marketing, where permitted. You can unsubscribe at any time using the link in our emails.

04AI processing and language models

FOWS uses artificial intelligence, including large language models from providers such as Google Gemini, OpenAI, and Anthropic, to generate content, analyse websites and rankings, write and reply to messages, and perform other tasks. To do this, relevant parts of your content, prompts, website data, connected account data, and lead information are sent to these providers for processing.

We select providers and settings intended to limit their use of your data to delivering the Service. Each provider processes data under its own terms and privacy policy. We may add, change, or remove AI models and providers, and test new models with our agents, which means your data may be processed by a different model or provider than before. AI output can be inaccurate, and you should review content before relying on it.

We do not sell your personal information, and we do not use AI to make decisions about you that produce legal or similarly significant effects.

We rely on third parties to run the Service. They may process personal information on our behalf, including:

This list shows the main providers we rely on today. Providers change as the service grows, and we may add, replace, or remove them. Each processes data under its own terms and privacy policy.

We may also disclose information to professional advisers, to a buyer or successor if our business is sold or restructured, or where required by law or to protect rights and safety.

06Connected accounts and social media

When you connect a social media or third-party account, such as Google, Meta (Facebook and Instagram), LinkedIn, X, TikTok, or YouTube, we access only the data and permissions you authorise, and we use that data in line with each platform's policies. Those platforms also collect and use data under their own privacy policies, which we encourage you to read. You can revoke access at any time from your FOWS settings or from the platform itself.

If you use agentic triggers to schedule social media or Google Business Profile posts, you consent to FOWS connecting to those services and giving our agents access to your accounts to create, schedule, publish, and manage posts. We use that access only to carry out the posting and management you have set up.

FOWS's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to develop or train generalised AI models, and we do not sell it or use it for advertising.

07Overseas disclosure

Some of our providers store and process data in data centres in other countries. By using the Service, you consent to your information being handled there. We take reasonable steps to make sure these providers protect it.

08Your customers and website visitors

When FOWS collects or processes information about people who visit or contact websites you run with FOWS, we do so on your behalf. In that role you are responsible, as the business collecting the information, for having a lawful basis and any required consent, for publishing your own privacy policy on your website, and for complying with anti-spam laws when agents contact your leads. We process that information only to provide the Service to you.

09Cookies and similar technologies

We use cookies and similar technologies to keep you signed in, remember preferences, secure the Service, and understand usage. Some are set by our providers, such as analytics and content delivery services. You can control cookies through your browser settings, although parts of the Service may not work without essential cookies. Where the law requires consent for non-essential cookies, we will ask for it.

10Retention and security

We keep personal information only for as long as needed to provide the Service, meet legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. When it is no longer needed, we delete or de-identify it. After you close your account, we delete Your Content within a reasonable period, except where the law requires us to keep it.

We use technical and organisational measures such as encryption in transit, access controls, and reputable infrastructure providers to protect information. No system is completely secure. If a data breach is likely to result in serious harm, we will notify affected people and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

11Your rights and choices

You can ask to access or correct the personal information we hold about you. Depending on where you live, you may also have the right to delete your information, restrict or object to processing, receive a copy in a portable format, withdraw consent, and opt out of certain processing. To make a request, email privacy@fows.ai. We will verify your identity and respond within the time required by law. We will not discriminate against you for exercising your rights.

Withdrawing consent to AI or third-party processing may mean we cannot provide some or all of the Service.

12Children

The Service is for businesses and people aged 18 or over. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.

13Complaints

If you have a concern about how we handle your information, contact us first at privacy@fows.ai and we will respond within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au, or to your local data protection authority if you are in the EU or UK.

14Changes to this policy

We may update this policy as the Service, our providers, or the law change. We will post the updated version here with a new date, and notify you of material changes by email or in the app.
